How To Create Your First Fillable Form Template?
Before creating your first template, there are a couple of insights we'd love to share to give you a better understanding of how our tool works.
1. Definition
Let's start by defining two fundamental terms: Variables and Templates.
- Variables: A Variable is a placeholder in your document that can be filled with specific information. Think of it like a blank space where you can insert details that might change each time you use the document. For example, if you're creating a form where you need to add the customer's name in multiple places, you can use a Variable like [Customer Name]. This way, you only need to enter the customer's name once, and it will automatically appear wherever you've placed that Variable. Just remember, the Variable has to be written exactly the same each time, including spaces and capitalization, or it will be treated as a different placeholder. For instance, in a contract titled "Service Contract for ACME," you could replace "ACME" with a variable like "[Client company name]" and include a question for this variable. When someone responds to that question, TemplatesGo knows exactly where to insert the answer in the final document.
- Templates: A template is like a pre-made guide that helps you create a document quickly and easily. Imagine you need to write a letter, but you don't want to start from scratch every time. A template provides a basic structure with placeholders where you can fill in specific details. It's designed to make your life easier by ensuring everything looks professional and is correctly formatted. You just customize it with your information, and you're good to go!
2. Create Your New Template
So now let's get started with creating your first template! Simply upload your documents and start converting them into templates. Begin on our Dashboard, where you'll find the "Create" button. Click "Create New Template," and you'll be taken to the Template Editor.
3. Create A Title For Your Document
From the Template Editor, you can enter the desired title for your fillable document in the title box, and we will automatically format it in the final document.
4. Customize Your Fillable Form Template in Editor
To start customizing your document, copy all the text and paste it into our Editor. Then, follow these simple steps:
- Create Variable: Add brackets [] and the desired text inside the area where you want to add a fillable field. Click on the variable you just created and look at the sidebar on the right to see the question title for the variable. Add a question for the variable to customize the form.
- Preview Your Fillable Form: Once you have added all the necessary variables to your document, take a quick look at how your form looks by clicking the "Quick Preview" button. This allows you to test your form.
- Change the Status: The final step is to change the status. There are two main statuses: "Draft" and "Published". "Draft" status means your template is saved without being published. When you change the status to "Published", your form will go live, allowing you to generate documents or share the link for others to fill out.
- Save the Template: Click the "Finish Template" button to save it. That's it! Your template is created easily.
Important Note
Please remember that each Variable has its own question to identify the fillable field. If you want to repeat the same data across your document, simply use the same text for the Variable. For instance, if you want to repeat your Customer Name several times in your document, create a Variable named [Customer Name] with its question and place the Variable [Customer Name] wherever you want your customer's name to appear repeatedly. If you change it to [CustomerName] without a space in the middle, for example, it will be detected as a new variable.
How To Generate Document Quickly with A Fillable Form Template?
When you finish polishing your document template and hit the "finish template" button, you'll be directed to your Dashboard, where we securely save your template. From there, you have the flexibility to choose how you want to proceed. Whether you prefer to fill and generate the document yourself or share a link with someone else to fill out the form, our Dashboard makes it easy and convenient.
1. Select Your Fillable Document
From dashboard, click to the title of your document directly or click to the side bar and select "View Document" to start filling the form and generating new document.
2. Fill The Form
When you click the "View Document" or the title of the selected document, your fillable form will appear and be ready for you to input the necessary information. I find this step particularly convenient as it streamlines the process and ensures that all required fields are easily accessible. Below, you'll see an example of the fillable form where you can input your data accordingly.
3. Review Your Draft and Download it
Just answer a few questions and your draft document is ready to be reviewed. We've designed it so that all your input information will be highlighted in green for quick review and adjustment. Feel free to make any changes to ensure the document meets your expectations. Once you're satisfied, simply hit the "Finish the document" button at the end and we will generate your document in PDF.
The end result? Documents! And not just any documents – we're talking contracts, proposals, forms, quotes, reports, consent form, business letter and a whole bunch more. Cool, right?
4. Share Your Fillable Form Template to Anyone
